EMPLOYMENT NOTICE
Valley Career & Technical Center (VCTC) is seeking a full-time secretary for our Adult Education program. The Adult Education Secretary provides a high standard of administrative and clerical support to the Adult Education Coordinator and instructors to ensure efficient office operations in a professional environment. Accuracy, attention to detail, and excellent interpersonal skills are essential.
Educational and Professional Qualifications
- Possess a GED or High School Diploma; Two-year Associate's Degree Preferred;
- Advanced knowledge of Microsoft Office applications;
- Demonstrated ability to perform a variety of tasks in a professional office environment;
- Experience in managing multiple projects simultaneously of a routine and complex nature;
- Experience as a secretary or administrative assistant preferred;
Roles and Responsibilities
- Assists Adult Education Program Coordinator with correspondence, course-related procedures, and other projects or tasks as requested;
- Greets visitors; answers telephone; provides information; forwards calls to appropriate party; assists students; directs visitors to appropriate party;
- Possess public communication skills that allow the professional representation of VCTC Adult Education to a variety of business and community customers, associate, staff and speakers of other languages
- Informs potential students of the variety of classes offered and understands all programs thoroughly;
- Prepares a variety of documents including correspondence, forms, reports, purchase orders, etc.;
- Collects a variety of data for state records, verifies student records for accuracy and completeness; enters and retrieves sensitive and restricted information into computer system;
- Enrolls/registers students; generates, updates, and maintains academic records, prepares class rosters, transfers records, verifies student information, and collects and manages tuition;
- Prepares and verifies enrollment reports and transcripts;
- Coordinates and assists with processing accounts payable and pending purchase orders; maintains inventories and orders supplies;
- Assists in the preparation and distribution of flyers, informational materials, and newsletters;
- Use spreadsheets to track student attendance, class rosters, or student testing;
- Operates a variety of standard office equipment;
This fulltime position is a 260-day, 8-hour/day contract. Salary is commensurate upon an individual’s experience as placed on the Augusta County Public School’s salary structure for Secretary III (2023-2024 Salary Range: $45,691-$53,843).
